Trinity County Overview
Trinity County Clerk
The Trinity County Clerk is the local registrar for birth records in the county. Birth records in Trinity County begin in 1911, which is somewhat later than many other Texas counties. That is partly due to a courthouse fire in 1876 that destroyed early records. The office maintains all vital records filed since registration began in the county.
To get a certified copy of a birth record from Trinity County, you go through the County Clerk. The clerk's office can process requests in person or by mail. You need to be a qualified applicant under Texas law, meaning the person named on the record, a parent, or a close family member. Bring a valid photo ID when you visit in person.

How to Get Trinity County Birth Records
You have two main ways to request a Trinity County birth certificate. You can go in person to the County Clerk's office in Groveton, or you can send a mail request. Walk-in visits are the fastest option. You get your record the same day in most cases.
For a mail request, you fill out the Texas Birth Certificate Application (Form VS-140). You can find that form on the Texas DSHS Vital Statistics website. Your application must be notarized if you send it by mail. Attach a copy of your valid photo ID along with the notarized form. Send a cashier's check or money order for the fee. Personal checks are not accepted for most mail requests.
Texas also lets you order birth records online through the state portal at texas.gov. Online orders go to the state office in Austin and take longer to process. If the birth occurred in Trinity County, the state office should still have a record on file, since counties forward copies to the state.
Birth records in Texas are not public for the first 75 years. Under Texas Government Code Section 552.115, only qualified persons can request them during that period. Qualified applicants include the registrant, a parent listed on the certificate, a legal guardian, or an immediate family member.
Trinity County Birth Certificate Fees
The fee for a certified copy of a birth certificate is $23.00. Each additional copy ordered at the same time costs $23.00 as well. These fees apply at the county level. If you order through the state DSHS office, the fee is $22.00 per copy.
Pay by cashier's check or money order when mailing your request. In person at the clerk's office, you may be able to pay by cash or card, but it is best to call ahead and confirm. Do not send personal checks for mail requests.
If you cannot afford the fee, Texas has a waiver process. You can file a Statement of Inability to Afford Payment with the court. Forms and information are available at txcourts.gov.
Note: Fees can change. Call the Trinity County Clerk at (936) 642-1208 to confirm the current fee before sending a payment.
Birth Registration in Trinity County
Under Texas Health and Safety Code Chapter 192, every birth in Texas must be registered. The person attending the birth, whether a doctor, midwife, or other attendant, must file a birth certificate within five days of the birth. For hospital births, the hospital administrator or a designated staff member may file the record. The certificate goes first to the local registrar, which for Trinity County is the County Clerk's office.
Once the local registrar receives and accepts the birth certificate, a copy is forwarded to the Texas Department of State Health Services Vital Statistics Section in Austin. That means a record of the birth will exist both at the county level and at the state level. Either office can issue a certified copy to qualified applicants.
If a birth in Trinity County was never registered, or if it happened before registration began in 1911, you can look into delayed birth registration. Texas allows delayed filing under certain conditions. The DSHS handles these cases. Visit the DSHS Vital Statistics page for details on how to file a delayed birth certificate.
What a Trinity County Birth Certificate Shows
A certified birth certificate from Trinity County contains key facts about the birth. The long form is a copy of the original record and shows the most detail. It includes the full name of the child, date and place of birth, and names of both parents. It also shows the mother's maiden name and any corrections made over the years. This type is often required for passports and legal proceedings.
The short form is an abstract that shows current information only. It does not show the history of corrections. It is accepted for most everyday uses like school enrollment, driver's license applications, and employment verification. An heirloom certificate is a decorative version meant for display, not legal use.
Typical information on a Texas birth certificate includes:
- Full name of the child
- Date, time, and place of birth
- Sex and race of the child
- Full names of both parents
- Mother's maiden name
- Attending physician or midwife
Social Security numbers of the parents appear on file at the state but are not part of the legal birth certificate that gets released to the public.
